What supporting documentation can be used for each event type?

 

Planting:

Planting records must give information on the crop type and planting date to be considered valid supporting documentation. In addition to the document types listed below, you may also be allowed to submit personal management records.

  • Farm Management Software/Machine Records reports.
  • FSA 578
  • Crop Insurance/Production Reports
  • Grower (management) records/plans
  • In-field photos with geo and timestamps
  • Seed receipts

 

Fertilizer:

Fertilizer documentation should clearly state the type/product of fertilizer used as well as inhibitor use. Records should also include the application rate, date, and method. Personal records detailing this information may be uploaded as supporting documentation.

  • Farm Management Software/Machine Records reports
  • Invoices and fertilizer receipts 
  • Grower (management) records
  • Fertility/Nutrient management plans
  • Custom application reports or invoices
  • In-field photos with geo and timestamps (application date)
  • Equipment photos/specifications (application method)

 

Harvest:

Documentation about harvest should display crop type, yield, APH yield, or failed crop date as well as harvest date and method when applicable. Personal documentation of harvest events that lists these details may be used.

  • Scale tickets and transaction receipts

Termination:

Termination records must provide information on the termination date, method, and crop type.

  • Herbicide receipts/invoices 
  • Weather Records 
  • In-field photos with geo and time stamps

 

Tillage:

Tillage records must provide information on tillage date and equipment used. In the case of no-till events, photo documentation of your no-till drill or other equipment may be used.

  • Grower (management) records/plans 
  • Equipment photos/specifications 
  • In-field photos with geo and time stamps

 

Cover Crops:

Cover crop documentation should include the planting date, cover crop type/species, and the harvest/termination date (and method as applicable).

  • NRCS report 
  • Seed receipts 
  • In-field photos with geo and timestamps

 

Organic Amendments (Manure):

Documentation for any organic amendments should include the application date, rate, method, and type.

  • Grower (management) records/plans 
  • Custom application reports or invoices 
  • Organic amendment receipts 
  • Fertility/Nutrient Management plans

 

Irrigation:

Irrigation documentation should include the crop irrigated with the method and start/end dates. (For rice: flood start/end dates).

  • Crop insurance/production report 
  • Grower (management) records/plans 
  • Third-party cloud records (irrigation monitors) 
  • In-field photos with geo and timestamps 
  • Equipment photos/specifications

 

Grazing:

Grazing documentation should include animal type, count, and weight along with the grazing plan.

  • Grower (management) records
  • NRCS report 
  • Grazing plans 
  • Seed/feed receipts or tags 
  • In-field photos with geo and timestamps
